Snapshot:

  • The challenge: When required eCOA questionnaires are left incomplete, gaps in patient-reported data can make analysis more difficult and create additional follow-up work for sites.
  • The solution: eCOA-triggered micropayments and notifications can recognize participant effort after defined study activities while automating payment administration for sites.
  • The result: A more connected patient and site experience, with the potential to support engagement and reduce manual work for study teams.

The challenge with patient-reported data

Clinical trials depend on reliable patient data to answer critical questions about treatment effectiveness. Electronic Clinical Outcome Assessments (eCOA) are often used to collect data on patient outcomes, including outcomes reported by patients, clinicians, and observers, as well as performance metrics.

In large trials with thousands of participants, incomplete entries can add up, creating gaps in the data and additional follow-up work for sites. Missing data can complicate endpoint analysis and make it more difficult for sponsors to evaluate study results comprehensively. A more connected, responsive experience can help study teams support participants as they complete the activities the protocol requires.

How eCOA and Patient Payments work together

When a study uses Suvoda eCOA and Greenphire Patient Payments on the Suvoda Platform, sponsors can enable small payments and notifications to be triggered automatically based on a completed activity. These micropayments offer a simple way to recognize participant effort without requiring site staff to initiate each payment manually.

The process can look like this:

  1. A participant completes a questionnaire in the Suvoda App.
  2. Suvoda eCOA evaluates whether the configured achievement criteria have been met.
  3. When the criteria are met, the connected payment workflow initiates a Greenphire Patient Payments transaction.
  4. The patient receives a confirmation through the Suvoda App that a payment is on the way according to their preferred payment method (with additional notification channels available based on study configuration).
  5. Once the payment is processed, the patient sees the payment update in the Suvoda App.
  6. The study team can track the achievement and payment status through reporting and payment history tools.

No manual intervention or site staff time is required, and the patient receives timely positive acknowledgment for staying on track with their data entry.

A connected platform supports the workflow

Greenphire Patient Payments is available alongside Suvoda eCOA on the Suvoda Platform along with six other eClinical solutions: RTSM, eConsent, Scheduling, Greenphire Travel, Site Payments, and Budgeting & Benchmarking. For sponsors, CROs, and sites, that connection means a single login, a familiar user experience, a shared data layer, and fewer disconnected steps between questionnaire completion and payment.

The Suvoda App gives participants one place to complete questionnaires, schedule and view appointments and travel details, submit receipts, track reimbursements, and review payment information. Behind the experience, the Suvoda Platform connects patient activity and operational data across products.

Together, these connected workflows can support all stakeholders:

  • For patients: Timely notifications and payments can recognize the effort involved in completing required questionnaires. Participants can receive reminders about upcoming activities and confirmation when a payment has been initiated.
  • For sites: Automated payment triggers reduce the need for manual intervention and reduce follow-up calls to patients who miss entries. Sites save time and have a lower risk of error, which can result in a more efficient trial.
  • For sponsors: More engaged patients can mean fewer dropouts. And higher completion rates mean better data quality and more reliable endpoint analysis. Real-time visibility into patient engagement helps identify potential issues before they become problems.

Greenphire Patient Payments can flex with your global trials

Beyond eCOA-triggered payments, Greenphire Patient Payments can flexibly support patients with expense reimbursements, stipends, and other data-triggered payments. Greenphire Patient Payment features may include patient-preferred payment methods, local-language support, tax-management support, fraud controls, and real-time financial reporting, depending on the sponsor’s needs and configuration for the study.

A study running across dozens of countries carries just as many expectations for how participants get paid—different currencies, languages, and local rules from one site to the next. Greenphire Patient Payments is designed for that reality, supporting more than 100 countries and 30-plus currencies. Local-language support and country-specific configurations keep the experience familiar for each participant, while sponsors and CROs manage it all through one system instead of a patchwork of regional workarounds.

Greenphire Patient Payments has supported more than 30 million payments worldwide. A Moffitt Cancer Center case study shows the operational impacts that site teams can feel.

After replacing manual gift-card purchasing, tracking, and reporting with automated payment execution and monitoring, the site reported saving an estimated 40 hours of work per week.

Modern technology for today’s complex trials

Clinical trials require participants to manage numerous study activities alongside the demands of everyday life. Connecting those activities to automated payment workflows is one way to make the experience more responsive while reducing administrative work for sites.

By using both eCOA and Patient Payments on the Suvoda Platform, questionnaire completion can trigger the next step automatically—giving participants timely acknowledgment and giving study teams a more connected way to manage patient activity and payments.
